About the Role

As an Executive Associate, you will play a central role in ensuring the smooth, efficient and well‑coordinated delivery of administrative, operational and communication services that keep the office running at its best.

Working closely with the Head of Office, you will provide specialized support that enables strategic focus and effective workflows across the section.

You will manage a wide range of communications, prepare routine and sensitive correspondence, follow up on deadlines, and coordinate calendars, meetings and travel arrangements.

You will prepare briefing materials, review documents for accuracy, and support logistical arrangements for capacity‑building activities and conferences.

Your responsibilities will also include monitoring staff absences, maintaining office inventories, supporting budget preparation and expenditure monitoring, and carrying out VISION transactions related to grants.

You will facilitate procurement processes, support consultant and partner contracts, and maintain updated vendor and consultant rosters—ensuring timely, accurate and compliant support to the office.

Minimum requirements:

  • Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to: Administrative Studies, Business & Management, Public Administration and any other related fields.

  • Work Experience: A minimum of six years of relevant administrative or clerical work experience is required in: Executive Management, Administration, Operations, Communication, Communications Support, Administrative Support, Operations Support and any other related fields.

  • Skills: You must have expertise in: Executive Support, Collaboration, Communication, Budget Monitoring Support, Procurement Support.

  • Language Requirements: Fluency in English is required.

Desirables:

  1. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.

  2. Relevant experience in: Confidential work environment, Supporting Senior Leadership, Event Coordination, Organization and Prioritization.

  3. Relevant experience at country level, particularly in development, fragile settings and humanitarian contexts.
