This position may be based in one of the IRC Ukraine offices with possible travel to other locations in Ukraine. The aim of this position is to support HR Officers and other Country Program staff with document workflow and implementing HR administration process in accordance with Ukrainian legislation and corporate requirements. The support shall be provided across the country in a mode of the “shared services”. The HR Assistant is the member of the central team and may operate in a hybrid mode.

Job Responsibilities

Day-to-day HR Administration

  • Perform day-to-day routine operations of the HR functions and duties across the Country Program.
  • Provide clerical and administrative support.
  • Compile and update employee records;
  • Updating HR trackers (leave tracker, personal information, insurance, general employee, etc);
  • Draft orders, employment agreements, other staff related documentation;
  • Support HR Officers to deal with employee routine and transactional requests regarding human resources issues, rules, and regulations.
  • Process document workflow required by Ukrainian legislation and in accordance with IRC Ukraine electronic filing system (employment contracts, service agreements, orders, letters, etc);
  • Assist HR Manager with providing information for staff payroll (providing relevant data (absences, bonus, leaves, etc) and information regarding remuneration on service agreements.
  • Process annual and other types of leaves.

Skills and Qualifications required

  • 1+ years’ experience in human resources/ administration.
  • Good communication and organizational skills.
  • Advanced knowledge of MS Office.
  • Advanced knowledge of clerical work and paperwork.
  • Knowledge of labor legislation.
  • HR software, databases, and management systems.
  • English level – intermediate or pre-intermediate, fluency in Ukrainian.

Preferred Qualifications

  • Bachelor’s degree in human resource management or social sciences (or related field).
  • Experience in working with HRIS and databases.
  • Familiarity with job boards.
  • Desire to grow professionally with networking and ongoing training opportunities.

  • This role can operate in a hybrid mode
  • Exempt from overtime
  • Sometimes work on weekends may be required
